Challenges
With the acceleration of its go-to-market strategy, it became necessary to find a systems integration solution that would allow for scaling customer onboarding and reducing the time between onboarding and generating results for the business. One of the major barriers to 4IES's growth is the diversity of back-office systems used by clients; there are hundreds of market systems, each with its own integration logic.
A large percentage of educational institutions end up sending their documents in Excel format, which, even when submitted in the correct layout, still requires significant human intervention to classify and import into the 4IES management system before being processed.
Since institutions cannot alter their back-office systems, it was necessary to solve the integration problem using Excel and finding another format to resolve the issue. Even using API integration, integration using Excel spreadsheets (CSV) was necessary to avoid losing the market niche that does not have APIs.
4IES did not have a proprietary platform to import and transform data during the onboarding process, which meant that bringing customer data into the application proved to be very laborious and time-consuming, compromising the internal team and, consequently, the delivery of projects.
According to Cleiton Martins, Product Manager at 4IES, "we needed more agility to integrate information, to bring customer data in-house in a practical and fast way, and that's exactly what Skyone helped us do: improve the onboarding process with clients."
Not using a data integration and automation platform was certainly what was hindering 4IES's go-to-market strategy and its ability to generate business results.
Solution
Cleiton met Skyone at the Bossa Nova Summit 2022 while visiting exhibitors in search of solutions for his business problems. According to Cleiton, "We were at the event looking for new things when we met Skyone and saw the possibility of doing integrations without code and spending little money. We immediately scheduled a meeting and the partnership quickly emerged."
The Skyone architecture team realized that the best solution for 4IES would be to empower the operations team and provide the integration functionalities via FTP/SFTP, data transformation in the workflow, and automatic import. After several knowledge transfer sessions, the team began using it independently and successfully integrating their clients.
Cleiton adds that “the greatest benefits of Skyone's iPaaS are related to the flexibility of Skyone Solutions' iPaaS and the way it uses low-code to create integrations quickly and with a significant reduction in effort. Because it is a high-level platform, we don't need to hire deployment and/or support services to develop the integrations, which has helped us save time and gain internal speed.”.
Results
4IES employees reduced the time needed to implement new operations with their clients, significantly decreasing the manual processes previously required to manage and organize Excel spreadsheets. After integrating their systems with Skyone, information is generated, synchronized, and updated according to business needs.
The processes became more efficient with positive impacts on various aspects of the business. “We had savings of up to 70% in project development, and revenue increased with the addition of new users. Before Skyone, we served clients only via internal API, and after contracting the platform, we integrated 6,000 new students in the first month with spreadsheet imports, enabling more than 10,000 students at a time,” he states
Today the project is running very well, the processes have become more agile and less bureaucratic, and we hope to expand API integrations to other areas of the business using Skyone .
